Experiana Trails is a specialist agency that offers varied kinds of experience-based travel to diverse destinations. We arrange transfers, tours, accommodation reservations, and other allied services. Our core offerings include:
- Group Travel Experiences (pre-designed itineraries with immersive activities)
- Theme Based private trip. (trips focused on heritage, traditions, and wellness)
- Exclusive property stays (curated premium travel experiences)
- Relaxing Vacation oriented experience.
Our services include, but are not limited to:
- Fixed itinerary private tours
- Transfers between locations
- Local authentic cuisine experiences
- Cultural and adventure activities
- Accommodation arrangements
- Customer support during your journey
- Travel Insurance Recommendations
Booking Confirmation
- All reservations are subject to confirmation upon payment of a deposit in full, as per packages.
- Once we confirm your booking, we will give you a reference number as well as a full itinerary.
- Full payment is due before departure, with a non-refundable deposit required for certain packages, as per our cancellation policy
- Credit/debit cards, bank transfers, or any other acceptable means can make payment.
- All prices are in Indian rupees (INR), except where noted otherwise.
- Pricing can be variable based on availability, dates, and other factors.
- Experiana Trails reserves the right to change prices before confirming your booking.
Failure to Pay
- If you are unable to make payment in full by the due date, we may cancel your booking or services. .
- Cancellation fees may apply as per our cancellation policy.
Inclusions and Exclusions
Inclusions: Costs mentioned in the package include accommodation, transfers, meals (as specified), sightseeing tours, and activities listed in the itinerary.
Exclusions: Any additional services such as personal expenses, optional activities, visa fees, or travel insurance are not included unless otherwise specified.
Cancellation by Client
- We require a non-refundable booking deposit of 30% of the value of your booking at the booking stage in order to secure your booking.
- Payment is required in full at booking, and cancellation will be in accordance with the following terms:
- If your booking is canceled within 30 days prior to the departure date of the tour, then after having deducted the initial non-refundable deposit of 30%, the entire journey cost will be refunded at 50%.
- If your booking is canceled within 15 days prior to the departure date of the tour, then after having deducted the initial non-refundable deposit of 30%, the entire journey cost will be refunded at 25%.
- Cancellation within 15 days of the date of departure would result in cancellation charges of 100% of the tour cost, without any sort of payment refund for any advanced payments made towards the tour cost.
- Cancellation requests must be made in writing and sent to our customer service team.
Non-Refundable Charges
- Certain charges, such as non-refundable deposits, booking fees, and processing charges, are non-refundable.
- You must see that you carry valid travel documents (e.g., passports and visas). We are not responsible if there is any issue in your documentation.
Clients are solely responsible for ensuring they possess valid passports, visas, and any other travel documents required for the trip. Experiana Trails is not liable for delays or issues caused due to incomplete or invalid documentation.
Modification by Us
- We may change the schedule if there are unforeseen conditions (e.g., weather or road conditions), and we will inform you of any changes immediately and give you alternative arrangements where feasible.
- All group tours' final itineraries will be emailed to you a minimum of 10 days in advance of departure. Group sizes are subject to change.
- Should any modifications be needed during the tour, we will inform you of any costs incurred.
- If we are unable to provide the itinerary as planned, we will offer a comparable alternative or refund the difference in cost. if you choose to not to go with alternative, we fill refund the amount paid for the trip.
- We recommend that you buy travel insurance to safeguard you in the event of cancellation, health issues, or lost luggage.
- Clients must disclose any pre-existing medical conditions that may require special arrangements or attention during the trip.
- You will need to fulfil any local health prerequisites, for example, vaccination or COVID-19 restrictions.
Adventure Activities
- Your safety is paramount. We expect you to adhere to all the safety directions given on the journey. Neglecting safety precautions may result in you being removed from the journey without any refund.
- In the case of physical activities (such as water sports or hiking), we will notify you of any health requirements.
Safety Guidelines
- Adhere to safety instructions provided by guides or operators.
- For certain activities, signing an additional waiver may be required.
Baggage
- Clients are responsible for the safety and security of their personal belongings throughout the journey.
Check-In/Check-Out Times
- Standard check-in and check-out times apply unless stated otherwise.
- Early check-ins or late check-outs are subject to availability and additional charges.
Room Allocation
- Rooms are allocated based on availability. Special requests will be accommodated wherever possible but are not guaranteed.
Hotel Changes
- We reserve the right to change accommodation due to unforeseen circumstances. Comparable alternatives will be provided.
Transfers
- Transfers arranged by Experiana Trails adhere to the schedule provided.
- Delays caused by the client may result in missed transfers or additional costs.
Sightseeing
- All sightseeing tours are conducted as per the itinerary. Changes due to weather or local conditions will be communicated.
Self-Arranged Transfers
- If you opt for self-arranged transfers, Experiana Trails is not liable for delays or missed activities.
Third-Party Services
- We act as an intermediary for third-party services (hotels, transport, etc.). We are not liable for acts or omissions of these providers.
Force Majeure
- We are not responsible for failures due to events beyond our control, such as natural disasters, wars, strikes, or pandemics.
- If a force majeure occurs, we may cancel the trip, and you might be entitled to a refund minus any non-refundable costs.
Liability for Personal Belongings
- Clients are responsible for the safety of their belongings.
All travellers must:
- Follow the laws and regulations of the destination.
- Respect fellow travellers, company representatives, and locals.
- Refrain from damaging property, causing disturbances, or engaging in any illegal activities.
- Maintain appropriate behaviour in shared accommodations and public spaces.
Failure to adhere to the code of conduct may result in removal from the trip without any refund.
Data Collection
- Experiana Trails collects personal data in compliance with:
- Indian Information Technology Act, 2000
- Consumer Protection Act, 2019
Your data is used only for travel bookings, security purposes, and necessary communication.
If you have a complaint during your trip, you can:
- Contact our support team immediately via phone or email.
- Submit a formal complaint through our online form.
- Complaints will be addressed as efficiently as possible to ensure a smooth travel experience.
These Terms are construed according to the laws of India, specifically the Consumer Protection Act 2019 and the Information Technology Act 2000.
- Any disputes arising from these Terms will be governed by Indian law.
- The parties agree to submit to the exclusive jurisdiction of the courts in Delhi, India.
- By booking through Experiana Trails, you agree that you accept, understand, and are bound by these Terms and Conditions
- We reserve the right to modify these Terms at any time. Changes will be communicated.
- Continued use of our services after changes indicates acceptance of the new Terms.
- Experiana Trails functions in compliance with any regulations of the Ministry of Tourism, IATA, as well as other governing authorities.
